Referral Process

We work closely with professionals, families and local authorities to make sure every referral is handled carefully and every transition is planned around the individual – not around a system or a schedule. Most referrals come through local authority processes. Here’s what typically happens from the moment we receive one.

Referrals usually come from local authority brokerage teams or social workers, often through platforms like Zivver or The Chest. We also welcome direct referrals from professionals and families. However a referral reaches us, we treat it with the same care and attention.

If we think we have a suitable home, we respond with a detailed expression of interest – outlining the property, why it’s a good fit, compatibility with existing tenants where relevant, and how our team is equipped to meet the individual’s needs.

The expression of interest is reviewed by the acting social worker. If they feel it could be a good fit, we’re asked to carry out a full assessment. We take time to understand the person properly – their needs, their routines and what matters most to them – before any decision is made.

If the assessment is positive, costings are submitted and reviewed through a placement steering group. The individual and their family are then invited to visit the property. Their decision is final – and we respect that completely.

Once everyone is happy, we plan a careful transition with visits and time to settle. Nothing is rushed. We want the person to feel genuinely at home before anything becomes permanent.

Response Times and Next Steps

We know that waiting for a response can feel unsettling – especially when someone’s circumstances are uncertain. Here’s what to expect from us, and when.

Step 1
Referral Received

We acknowledge receipt of the referral and confirm what information we have. If anything is missing, we'll be in touch promptly so nothing is delayed unnecessarily.

Step 2
Initial Review

Our team reviews the referral carefully – usually within two to three working days – to assess whether we have a suitable home or service that could meet the individual's needs.

Step 3
Contact with Referrer

If we think we can help, we'll get in touch to discuss the referral in more detail. We'll be straightforward if we feel it's not the right fit – that's better for everyone.

Step 4
Assessment

Where appropriate, we arrange a full assessment of the individual. This is carried out by an experienced member of our team and takes into account the person's needs, routines, preferences and what matters most to them.

Step 5
Placement Planning

If the assessment is positive and all parties are in agreement, we move into transition planning. This includes submitting costings for review, arranging visits and planning a careful move at the right pace.

What Happens During Assessment

Our assessments are carried out by experienced members of our team. They’re designed to give us a thorough understanding of the individual before any decisions are made.

We look at the person’s needs, their daily routines, their preferences and what matters most to them. Where a shared home is involved, we also consider compatibility with existing tenants carefully.

Following the assessment, we share a clear report with the referrer and, where appropriate, agree next steps together. The individual and their family are always central to this process – nothing is decided without them.
